About the Truck

 

Purpose: The Truck is essentially a "program" mobile. We use it to transport supplies and to serve as a high visibility placemaker. The Truck's presence helps the community know library staff are present. 

Assets: Our most commonly used assets include the awning, tables and chairs, moveable shelves, felt board and white board, WiFi hotspot and exterior electrical outlets.

Use: We use the Truck at community festivals and celebrations including National Night Out, Earth Day Every Day, DPR events and more. Some limitations include its height which often prevents it from parking in covered lots and garages. Other limitations include staffing needed to drive and manage it. 

Staff Training: Staff who have been determined by their manager as eligible can be trained to drive and operate the Truck. POP staff will run the trainings. See the Truck Training Box below for more information.

Truck Training Step-by-Step

Follow these steps to get trained and certified to drive and operate the Truck:

  1. Have a valid driver's license.
  2. Be a responsible driver.
  3. Ask your manager for approval.
  4. Submit a training request Squirrel Ticket. (see link above)
  5. Review Training Checklist in advance. (see link above)
  6. POP team will review ticket and send Outlook calendar invite.
    • Training takes approximately 2 hours; plan for a 3-hour block to allow for transit time to/from Central Library.
    • Training takes place at Central Library.
    • Bring your valid driver's license.
    • In event of inclement weather, training might need to be rescheduled.
    • Training includes: review of Truck assets, practice using assets, staff driving the Truck.
    • Certified staff names will be added to the Certification List. Staff can view-only this document: Staff Certification_The Truck.xlsx
    • Certification is valid for 12 months. If staff use the Truck more frequently and maintain familiarity with the Truck, re-certification is not necessarily required.

Reserving & Using the Truck for Outreach

Follow these steps to reserve and use the Truck for outreach events: 

  1. To use the Truck, staff must be certified.
  2. Check the POP equipment list in LibCal for Truck availability on the date needed.
  3. Use one of the Outreach templates to create a draft LibCal event.
    • Add your Outreach event to one of these LibCal calendars: Adult Outreach and Truck, YS Outreach and Truck, or, for public-facing events, to your branch submissions calendar.
    • Select equipment > Truck within your event. This is similar to selecting a meeting room. A buffer period of 2 days is added the beginning and end of your reservation.
  4. Before your event: 
    • Collect your outreach event supplies.
    • Need more supplies? Complete a Materials Request Squirrel Ticket.
    • Collect the Truck keys at Central Library admin keybox.
    • Do your event - have fun!
  5. After your event:
    • Leave enough time to leave the Truck in its original state.
    • Complete the Truck Return Checklist.
    • Return the keys to Central Library admin key box.
    • POP staff will review the form and check the Truck. POP staff will contact you if there are any issues or concerns.
    • Add stats, after-event highlights, to your LibCal event.
